To understand all elements of the assigned hospitality programme and assist in the development and delivery of host training, rosters and manage the host team for the assigned hospitality programme.We will have roles starting throughout 2024. These will be contract roles until Aug/Sept 2024.Key Responsibilities: Assist the Manager with pre-event logistics planning, preparations and implementationDevelop a comprehensive knowledge of the hospitality programme and be familiar with all venues, locations, distances and routesCoordination of on-site operations related to host training and host games time operationsAssist with coordination of iLUKA host teamAssist the Manager with production of detailed training plan for generic client trainingPlan and attend site trips, client meetings as agreedAssist with production of team and client documentation as requiredEstablish effective communication systems for the iLUKA host team internally and towards the management team on the programmeAssist with coordination of all designated iLUKA host team elements of hospitality programmeAssist with day-to-day management of iLUKA host teamAssist with host team scheduling as necessaryHost when necessaryAssist the Manager with preparation of familiarisation training in liaison with other team members so that both self and team are fully conversant with all aspects of the programme including hotel facilities; resort facilities; event venues; excursion & activity venues; gala dinner venues etc.Assist the Manager with preparation of an Operations Manual for the event team so that information is readily available & easily accessible including essential contact numbers, local area information, local area history, sports venue information, sports venue maps, hotel facilities, excursions and activities, gala dinners, programme activities, transport information , guest points of contact (coach speeches, coach procedures, hotel welcomes and all other points of contact with guests), transport protocolEvent schedules, history & general knowledge etc. This is not an exhaustive list and all team members will be expected to contribute to any other aspects of the business, as necessary.Skills, Knowledge, Expertise: Fluent in English and FrenchExcellent Communication SkillsExcellent organisational skillsStrong time management skills with ability to meet strict deadlinesAbility to multi-task and meet strict deadlinesFlexible approach to working hours and ability to adapt to a dynamic environmentAble to build rapport at all levelsProactive, positive approach to all tasks and a high degree of reliabilityExcellent IT skills, Word, Excel, PowerPoint, OfficeLeadership skills Attributes: High energy, comfortable working potentially long hours in a demanding but rewarding and friendly environmentFlexible, enthusiastic, confident, outgoingWilling to roll sleeves up and get involvedPassionate about sport, hospitality and deliveryAble to work in a calm, kind and professional manner in a pressured environmentAbility to prioritise a demanding workload
